Position Summary: 
This position is part of a seasonal team responsible for the Urban Affairs Coalition’s Summer Youth Employment program, which provides paid summer job opportunities and support to youth ages 14-18 through WorkReady Philadelphia. The six week program runs from July through mid-August and includes career exposure, on-the-job mentoring and professional development. In 2019, UAC anticipates serving 1,500 youth. The Project Coordinator will provide direct support to the Project Director all aspects of the program. This will include providing administrative support, using UAC’s financial system to submit invoices and track expenses, and responding to inquiries and troubleshooting issues with all program stakeholders (including program participants and their families, employer partners, and UAC staff). This is a seasonal position beginning ASAP and ending in August.
Key Duties & Responsibilities: 
  • Support the Project Director with all aspects of program management
  • Handle telephone, in-person, and email inquiries from program participants, potential program participants, family members, and employer partners. Troubleshoot and deescalate issues whenever possible, alert Project Director or other staff when additional assistance is required;
  • Support the Project Director with financial management including:
    • Entering invoices and purchase requests in accounting system;
    • Tracking of invoices and purchases to ensure timely processing;
    • Budgeting and tracking expenses vs actuals;
  • Assist Project Director with staff supportive services such as IT requests, HR paperwork, timesheet reminders, and other inquiries or issues;
  • Assist with entering and maintaining program data and files, including data management;
  • Assist as needed with helping complete or troubleshooting program participant and worksite program paperwork, including assistance with detailed program eligibility requirements and accurate completion of application documents, as needed;;
  • Perform other related duties as assigned.
Education, Knowledge, Skills & Abilities: 
  • Strong project management skills and an analytical outlook
  • Familiarity with data management and accounting preferred
  • Must be a flexible, communicative, and agile team player, able to coordinate and share resources and data;
  • Strong customer-service orientation with good verbal and written communication skills;
  • Ability to deescalate conflict and stay cool under pressure;
  • Strong organization skills and detail-oriented;
  • Must be able to multi-task while meeting programmatic benchmarks and deadlines;
  • Must be comfortable working with youth and young adults ages 14-18;
  • Must be willing to work some non-traditional hours as needed;
  • High school diploma/GED required; Bachelor’s Degree preferred;
  • At least 2 years previous work experience, preferably in nonprofits;
  • Experience with project management, data management, and familiarity with budgets/accounting preferred;
  • Must be proficient in Microsoft Office software, including Word, PowerPoint, and Excel and have strong typing skills
  • Must be a self-starter with good time management skills.
  • Special Note: This position requires a criminal background check, child abuse clearance, and FBI fingerprint-based background check.
