Position Details
Position Summary: 

The position will be responsible for the general day- to- day functioning of the office. The incumbent is responsible for contact with clients and subcontractors of the ROZ Group and presents a professional, informative, and respectful image ensuring that the company’s reputation is stellar. Effective communication with the President at all times is essential to the success of the position.

Key Duties & Responsibilities: 

● Coordinates the CEO’s calendar/schedule to ensure effective time management between client meetings, new business development and mental processing or thinking time is achieved.

● Informs the CEO of any and all activities, information, events, interactions that impact the successful operation of the company ● Prepares powerpoint presentations

● Takes comprehensive notes in meetings

● Proofreads documents being prepared by the team

● Serves as the primary contact with media

● Assists in the drafting of proposals and reports and coordinates the team through submission

● Conducts thorough research on new clients to establish the foundation for effective work relationships

● Conducts environmental scans and other preliminary research as needed for projects

● Maintains and organizes receipts and coordinates the preparation of expense reports in collaboration with accountant

● Organizes and maintains the filing system and general appearance of the office

● Prepares check requisitions for consultants and vendors

● Assists with event planning and meeting facilitation

● Prepares client mailings and maintains databases such as Constant Contact

● Liaison with vendors servicing the ROZ Group to ensure all systems such as phones, computers, copiers are operating effectively

● Additional duties as assigned

Education, Knowledge, Skills & Abilities: 


● Must have excellent research skills with ability to search the web for appropriate sources and determine which information is valid and credible

. ● Excellent oral and written communication skills required.

● Must be able to maintain confidences as a breach would be grounds for termination.

● Demonstrated proficiency in Word, PowerPoint, and Excel required

● Comfortable interacting with diverse personalities and learning styles

● Must be business savvy, personable, and engaging complete with an understanding of interacting with people at varying levels, from CEO to administrative assistants

● Prior office experience required

● Must be a self-starter with the capacity to both take direction and offer suggestions

● Must be an informed person who appreciates content given that significant work involves history, science, healthcare, politics, and cultural arts

● Must work well under pressure and with deadlines

● Must be highly organized



  • Minimum of BA/BS is required
