Position Summary: 
The Human Resource Coordinator is responsible for performing HR-related duties on a professional level and works closely with the Sr. Director of Legal Affairs & Administration. This position carries out responsibilities in the following functional areas: benefits administration, employee relations, training, performance management, on/off-boarding, policy implementation, recruitment and employment law compliance. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance, payroll responsibilities and HRIS entry.
Key Duties & Responsibilities: 
  • Assists Sr. Director of Legal Affairs & Administration in the development of policies and procedures to ensure continual compliance with laws and regulations as well as the maintenance of best practices. Maintains and updates employee handbook. Assists employees in understanding company policies and procedures.
  • Updates and maintain Human Resources forms, documents, and other materials.
  • Assist in the administration of health and welfare plans, including enrollments, changes and terminations, reconciling benefit invoices and assisting with annual benefit enrollment processes.
  • Communicates benefit information to employees. Administers leaves in compliance with laws and regulations.
  • Provides staff support to 401(k) Investment Committee.
  • Manages PTO tracking and reporting.
  • Ensure timeliness and accuracy of required filings and notices.
  • Performs customer service functions by answering employee requests and questions; provides first line response to all staff.
  • Assists with recruitment and interview process, including, posting positions, scheduling interviews, tracking status and responding to recruitment inquiries.
  • Processes new-hire, status change, and termination paperwork.
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
  • Conducts new hire orientation; prepares new-employee files.
  • Coordinates on-going staff training and development.
  • Assists with the preparation and execution of the performance review process.
  • Assists (or leads, as appropriate) with planning and organizing activities to support employee engagement.
  • Assists with processing of terminations. Conducts exit interviews and assists with the interpretation of the results.
  • Maintains and updates HRIS/payroll system as well as other employee records in order to meet Federal and State legal requirements. Troubleshoots and monitors resolution of issues with the HRIS/payroll system.
  • Generates reports as needed to analyze turnover, injuries, compensation, performance management and other data to support the strategic initiatives of the organization.
  • Maintains employee confidentiality.
  • Makes photocopies; mails, scans and emails documents; files documents into appropriate employee files; and performs other clerical functions.
  • Assists or prepares correspondence as requested.
  • Schedules meetings as requested.
  • Processes mail.
  • Completes PAFs for HR/Legal/Administration invoices.
  • Performs other duties as assigned by the Sr. Director of Legal Affairs & Administration.
Education, Knowledge, Skills & Abilities: 
  • Minimum of 2+ years of general/various HR experience, required.
  • Excellent communication and interpersonal skills to deal effectively with all levels of employees.
  • Ability to maintain confidentiality and work extended hours, as necessary.
  • Proficiency in Outlook, MS Office Suite required (Word, Excel, etc.) required and familiarity with HRIS software preferred.
  • Accuracy and attention to detail.
  • Ability to work independently and collaboratively.
  • Flexibility in the context of a changing environment with multiple and/or changing priorities and deadlines.
  • Integrity, strong professional and ethical standards.
  • Demonstrated ability to plan projects and follow through to completion is required.
  • Demonstrated ability to organize time and detail, including keeping track of records, is required.
 Educational Requirements Bachelor's degree in human resources or related field
