Position Details
Position Summary: 

The Clerk is responsible for general accounting functions required to ensure the effective financial operation of the organization. Under the supervision of the Operations and Fiscal Manager, the Clerk maintains the integrity of the financial books and records in an automated environment, with efficiency and attention to internal control mechanisms while responding to information requests from all  vendors and payees.  In support of the Fiscal Team, enters payroll, accounts payable and receivable, and works in coordination and cooperation with the Executive team and other team members to produce high quality work that is timely and efficient.

Key Duties & Responsibilities: 
  • Validate and record approved invoices
  • Process accounts payable weekly
  • Enter bills and invoices into QuickBooks (QB) accounts payable module
  • Receive and prepare checks for deposit
  • Process and distribute payroll
  • Record deposit into QB deposit ledger and file
  • Complete bank reconciliations weekly
  • Reconcile bank statements by the 5th of each month
  • Liaison to internal departments regarding billing matters
  • Support billing, A/R and A/P processes in other billing and financial database systems as assigned
  • Process and submit Accounts Payable/Receivable reports to Coordinator or Manager
  • Initiate and answer telephone calls/inquiries regarding A/P and budgetary follow-up
  • Follows HIPAA guidelines in handling all confidential information
  • Participates in special projects as needed
  • All other duties as assigned by Operations and Fiscal Manager
Education, Knowledge, Skills & Abilities: 
  • Associate degree required; Bachelor’s degree strongly preferred
  • 1+ years of bookkeeping experience (required)
  • Extensive experience with QuickBooks required
  • Proficiency in Microsoft Word and Excel
  • Exceptional attention to detail and organizational skills
  • Excellent verbal and written communication skills
  • High level of reliability and work ethic
  • Ability to work independently, with minimum supervision
  • Excellent time management
  • High level of initiative
  • Able to work with all cultures with sensitivity
  • Impeccable integrity and team player
  • Occasional flexible work schedule including evenings and weekends
  • Able to work remotely as needed
  • Bilingual a plus

  • Valid Pennsylvania driver’s license preferred


  • Able to lift/move weight up to 50lbs.
  • Vision adequate to perform the responsibilities and functions of the job efficiently
  • Must be able to sit for 3 or more hours per day


The employee will work in an office and public, service-delivery environment. Hectic situations can occur in the public area of the facility characteristic to working with the homeless community and the related concerns and situations related to homeless conditions.
