Position Summary: 
The Board of Trustees Liaison and Office of General Counsel Coordinator, under the direction of the Chief of Staff to the President and the Vice President and General Counsel serves as the primary liaison between the University and the Board of Trustees and coordinates day to day activities within the Office of the General Counsel.
Key Duties & Responsibilities: 
Essential Duties as Board of Trustees Liaison:
  • Prepare agendas (coordination of items from the Executive Cabinet, inse1iion of items into Board of Trustee web portal) and determine due dates for Board materials.
  • Communicate with Vice President/General Counsel and prepare resolutions that require action by the Board of Trustees.
  • Prepare draft minutes for Board of Trustees meetings for review and finalization by Vice President/General Counsel.
  • Prepare for and record meeting minutes for all committee meetings of the Board of Trustees.
  • Coordinate the Board of Trustee annual orientation meeting.
  • Administer the Board of Trustees budget and prepare all necessary paperwork for expenses and reimbursements. This includes, but is not limited to preparing and/or validating expense reports, and preparing credit card reconciliations on a timely-basis.
  • Develop menus, reserve rooms, manage RSVPs, and upload materials to the electronic board binder and handle other logistical items including but not limited to: Transport binders, name plates, and develop board materials; Monitor attendance / meeting minutes; Provide new and potential members with resource materials, board dates, instructions regarding electronic board portal; Oversee preparation of biographies and insertion of photographs; Oversee updating of committee and private board lists; Respond to Board members phone calls, emails, etc.; Provide materials to Board members as requested and needed.
 Essential Duties as Office of General Counsel Coordinator:
  • Daily coordination with General Counsel and Assistant General Counsel to manage time reports, workflow, and schedules.
  • Assist in managing the Office of General Counsel’s role in the University’s contracting process.
  • Completion of research and special project assignments arising within the Office of General Counsel.
  • Management and organization of confidential University legal documents and records.
  • Provide general clerical assistance to the Office of the General Counsel, including but not limited to answering phone calls, relaying messages, greeting visitors, and managing day to day administrative needs.
  • Coordinate travel arrangements utilizing the most cost effective modes.
  • Assist with presentation preparations.
  • Administer the Office of General Counsel’s budget and prepare all necessary paperwork for expenses and reimbursements, including but not limited to preparing and/or validating expense reports, preparing credit card reconciliations on a timely basis, and tracking legal bills and expenses.
  • Represent the University in a positive and courteous manner at all times.
Secondary Responsibilities (if applicable):
  • Provide support as needed for the President Student Advisory Council, the President Advisory Council, and University Council.
  • Responsible for management and use of the Board portal.
  • Complete other duties as assigned.
Education, Knowledge, Skills & Abilities: 
Required Qualifications:
  • Bachelor’s degree plus 3-5 years of experience in an administrative support role.
  • Previous experience supporting a Board of Trustees or other Executives.
  • Demonstrated proficiency in using Microsoft Word, Microsoft Excel, Microsoft PowerPoint, internet searches, and in database management.
  • Demonstrated superior communication skills, organizational skills, and attention to detail.
  • Demonstrated ability to handle highly confidential matters.
  • Knowledge of and commitment to the mission of La Salle University.
