Program Summary: 
The Achieving Reunification Center (ARC), a non-profit entity, has served parent/caregivers with children placed in an out of home placement through Department of Human Services since 2005. The vision of the Achieving Reunification Center (ARC) is that all families with children in out-of-home placement have access to case management services, resources and supports to achieve timely family reunification.
Position Summary: 
The ARC Administrative Coordinator is responsible for supporting the day to day planning, organizing and implementation of ARC administrative systems. The ARC Administrative Coordinator also provides direct supervision for the Data Assistant and Receptionist staff. The ARC Administrative Coordinator will provide support in managing the ARC database and other online information portals.
Key Duties & Responsibilities: 
  • Responsible for the direct supervision and evaluation of the day-to-day work of the Data Assistant 1, Data Assistant 2 and Receptionist Staff.
  • Maintain and ensure proper operation of all office equipment;
  • Coordinate repairs and service calls as needed;
  • Maintain ARC reception area, meeting rooms, staff and parent lounge;
  • Maintain inventory of office supplies, furniture and equipment;
  • Make recommendations for new office purchases in relation to budgetary guidelines and constraints;
  • Provide billing support through submission of invoices in online billing system;
  • Provide support in planning, scheduling and promoting office events including staff retreats, conferences, interviews and new hire orientations;
  • Provide support in ensuring the smooth and adequate flow of information within the company to facilitate other business operations;
  • Provide support in maintaining and updating ARC employee and supervisor; handbooks, standard operating procedures and other organizational documents;
  • Provide support in maintaining tracking system for parent incentives and stipends;
  • Collect, organize and store information using computers, online and manual filing systems;
  • Ensure accurate and timely data entry into ARC database through routine data checks;
  • Provide support in regular review of data review and collection processes to ensure efficiency. Recommend data changes and requirements as needed;
  • Generate regular data reports as needed;
  • Provide support in maintaining online information portals; and
  • Perform other duties as assigned.
Education, Knowledge, Skills & Abilities: 
  • Bachelor’s Degree in Business Administration, or related field required. Associate Degree and combination of  5-7  years work experience will be considered;
  • Proven experience as administration manager;
  • Proven supervisory experience;
  • Demonstrated ability to work independently and in a team environment;
  • Demonstrated ability to exercise professional judgment and initiative;
  • Strong written, analytical, organizational, presentation and problem solving skills;
  • Highly organized with ability to effectively manage time and respond to deadlines;
  • Excellent listening and communication skills;
  • Ability to manage and prioritize multiple assignments from multiple staff members;
  • Proficiency in Microsoft Office Suite; and
  • Perform other duties as assigned.
